Event links for email, posters, and partners
An event has one registration page and many ways people hear about it: the newsletter, a slide, a partner newsletter, a poster by the door. One shared long URL hides which of those sent the visit.
Keep the registration page as the destination. Make a short link for each channel, with UTM tags that name the channel.
Name the channel in the link
| Channel | Example slug | UTM |
|---|---|---|
| Your newsletter | meetup-email | utmsource=newsletter, utmmedium=email, utm_campaign=meetup |
| Opening slide | meetup-slide | utmsource=slides, utmmedium=qr, utm_campaign=meetup |
| A partner | meetup-partner | utmsource=partner, utmmedium=referral, utm_campaign=meetup |
| Door poster | meetup-door | utmsource=poster, utmmedium=print, utm_campaign=meetup |
After the event, the four stats rows answer a practical question: which place was worth doing again. Clicks, countries, devices, and referrers are on each link. They are not ticket sales. Sales stay in the registration tool.
If the room or the time changes, edit the destination once per short link, or point every short link at one schedule page that you can update. Printed and already-sent links follow the new page.
QR on a slide and on a poster
A slide at the back of a room needs a larger code than a badge. Use the print-size PNG for a poster and a normal PNG for a slide you will project. Leave a quiet margin. Write the action next to the code: “Scan to register. Free, closes Friday.”
Build the image in the QR generator. For a folded program or a brochure, read where to place the code.
Keep the link alive through the event
A free link expires 30 days after you create it. If you build the links earlier than that before the event, or you want the recording page to keep working afterward, use Pro or Business. Those links do not expire.
When registration closes, change the destination to the recording, the photos, or a page that says the event is over. Disable a link only when you want the old poster to stop working.
Before you announce:
- Open each short link on a phone and complete registration if a test seat exists.
- Scan the poster from the doorway, not from your desk.
- Confirm the UTM tags survived onto the registration URL.
- Note which partner received which slug.
